App integrations

Information entered once flows between your CRM, calendar, accounting, email and forms.

What it does.

  1. 1

    A form comes in.

A customer fills in the form on your website, and the details go to each app that needs them.

  2. 2

The customer is added to your CRM and accounting.

Both get the same details. Existing customers are checked first, so no one is entered twice.

  3. 3

The visit goes on your calendar.

The time they asked for becomes a calendar event with their details, and they get an invite.

  4. 4

    Every step is logged.

If an app doesn't answer, the step is tried again. If it still fails, you get an alert that says what went wrong.

What changes for you.

  • Details are typed in once.

A customer's information goes in where it starts, and every other app gets it from there.

  • Every app shows the same details.

A new phone number or email reaches your CRM, accounting and calendar.

  • Fewer copy-paste mistakes.

Nothing is retyped, so names, numbers and spellings stay as they were entered.

  • You hear when a connection breaks.

A step that still fails after retries sends you an alert, so nothing goes missing without anyone knowing.

How we build yours.

  1. Explain.

Tell us which apps you use and where the same details get typed twice, by voice or text.

  2. Map.

We map where each piece of information starts and every app it needs to reach.

  3. Design.

We design each connection, what it sends and what happens when a step fails.

  4. Build.

Approve the design, and we build the connections, with a log of every step and alerts when one fails.

Questions.

Can't I do this myself with a connector tool?

Often, for simple links, such as adding each new form entry to a spreadsheet. It gets harder when a customer has to be matched to an existing record, when one step depends on another, when two apps can change the same details, or when a missed update has to be caught up later. We build those parts as custom connections, and the solution design says which links need one.

Which apps can you connect?

Most cloud apps a business runs on, such as QuickBooks Online, HubSpot, Google Workspace, Microsoft 365, Stripe and the common form tools, because they let other software read and add information. QuickBooks Desktop connects differently, so we check your version and setup first. If an app has no way for other software to connect, we say so in the solution design.

What happens when a connection fails?

Apps sometimes slow down, go offline or turn down a record, such as a customer name that's already in use in QuickBooks. Each step is logged and tried again automatically. If it still fails, you get an alert by email or text that says what failed. Monthly support is available if you'd like us to watch it for you.

Will it create duplicate customers?

It looks for an existing customer by email or phone before adding a new one, so a returning customer is updated instead of entered twice.

What do app integrations cost?

The price depends on what we build. We quote the work before anything starts, and you decide whether to go ahead.
