Appointment reminders and no-show recovery

Confirms every appointment by text, and offers a canceled time to your waitlist as soon as it opens.

What happens before each appointment.

  1. 1

    Every appointment gets a reminder.

It reads tomorrow's appointments from your calendar or booking app and texts each customer on the schedule you set.

  2. 2

Customers confirm or cancel by replying.

Each reply updates your calendar. A canceled time opens up, and the customer gets a link to book again.

  3. 3

The open time goes to your waitlist.

People who asked for an earlier time get a text, and the first to reply YES gets the appointment.

  4. 4

    Unconfirmed appointments come to you.

Customers who haven't replied by the cutoff you set land on one short list for your front desk to call.

What changes for you.

  • Every appointment gets confirmed ahead.

Customers answer a text, so you know who's coming before the day starts.

  • Cancellations come in sooner.

Canceling takes one reply, so customers tell you instead of not showing up.

  • Open times get filled.

A canceled time goes to your waitlist right away, while there's still time to book it.

  • Your front desk makes fewer calls.

They call only the customers who haven't replied.

How we build yours.

  1. Explain.

Tell us how you book and remind customers today, by voice or text.

  2. Map.

We map where your appointments live, when reminders should go out and who joins your waitlist.

  3. Design.

We design the reminder texts, their timing, the waitlist rules and the list of customers to call.

  4. Build.

Approve the design, and we build it on the calendar or booking app you already use, where it allows it.

Questions.

Doesn't my booking app already send reminders?

Most booking apps can send a reminder, and for a simple schedule that can be enough. We build what comes after it, such as replies that update your calendar, a waitlist that fills canceled times, and a list of customers who haven't confirmed.

How does the waitlist work?

Customers who want an earlier time join the waitlist. When a time opens, they get a text, and the first to reply YES gets it. Everyone else hears that it's been taken.

Will it work with my calendar or booking app?

We start with the one you use now, such as Google Calendar, Outlook, Square Appointments, Calendly or Acuity. Each can tell us when an appointment is booked, moved or canceled, though some need a paid plan for it. Booking a waitlist customer straight into your calendar also depends on what your app allows.

Are reminder texts allowed?

Yes, to customers who agreed to get texts. Reminders stay about the appointment, with no offers in them. Every text includes a way to opt out, and replies of STOP are honored. US carriers require business numbers that send texts through software to be registered, which is called A2P 10DLC. We handle the registration as part of the setup.

What do appointment reminders cost?

The price depends on what we build. We quote the work before anything starts, and you decide whether to go ahead.
