Collections assistant
Overdue invoices get polite reminders by email and text on a schedule you set. They stop as soon as the customer pays.
What happens to an overdue invoice.
- 1
Overdue invoices come from your books.
It checks your accounting software, such as QuickBooks or Xero, for unpaid invoices past their due date.
- 2
A reminder goes out with a pay link.
Each one comes from your business, by email and, for customers who agreed to texts, by text.
- 3
The customer pays, and the reminders stop.
The invoice is marked paid in your books, and no more reminders go out.
- 4
Some invoices come to you.
Large balances, replies and invoices past your last reminder come to you to handle in person.
What changes for you.
Every overdue invoice gets followed up.
Reminders go out on your schedule, whether an invoice is three days late or thirty.
Nobody has to remember to chase.
The schedule runs on its own and checks your books before each reminder, so paid invoices are left alone.
Customers hear from you in your words.
Every reminder uses wording you approve, and it gets firmer only as far as you decide.
Large balances still go through you.
Big or sensitive invoices come to you with their history, so you can call the customer yourself.

Questions.
Doesn't QuickBooks or Xero already send reminders?
Yes. Both can email automatic reminders before and after the due date, and for simple cases that can be enough. We build what comes after, such as text reminders, different schedules for different customers, a pause when a customer replies, and large balances sent to you.
Does it stop when the customer pays?
Yes. It checks your books before every reminder, so a paid invoice gets no more. It also pauses when a customer replies, so you can answer them yourself.
Can reminders go out by text?
Yes, to customers who agreed to get texts. US carriers require business numbers that send texts through software to be registered, which is called A2P 10DLC, and we handle the registration as part of the setup. Every text names your business, and replies of STOP are honored.
Is this a collections agency?
No. Reminders go to your own customers in your business's name, with the wording and schedule you approve.
What does a collections assistant cost?
The price depends on what we build. We quote the work before anything starts, and you decide whether to go ahead.
