From an accepted job to a signed copy on file.
- 1
A job says which documents are due.
When a job, deal or form reaches the step you choose, your rules pick its documents by job type, customer type, county or job size. In Texas, the contractor must give the owner a disclosure statement before the owner signs a residential construction contract, so your rules can add it to every residential packet.
- 2
Each document fills in from your tools.
We start from your own Word files, Google Docs and PDFs, and your terms stay as you wrote them. Details come from your job software or CRM, prices from your books, and anything else from a form or spreadsheet. A document missing a detail waits for you instead of going out blank.
- 3
Customers sign from one link.
They agree to sign electronically, sign on their phone and download a copy. Reminders go by email on your schedule and stop once it's signed.
- 4
The signed copy is filed with the job.
The signed PDF and its signing record land in the customer's folder in your Google Drive or SharePoint, and the job shows it as signed where your job software allows it.
What changes for you.
Job details go in without retyping.
Addresses, prices and dates come from the tools where you already keep them, wherever those tools let outside apps read them.
The right documents go out.
Your rules pick them for each job, so a required attachment doesn't depend on anyone's memory.
Unsigned documents get chased.
Reminders follow on your schedule, and you hear when one is stuck or declined.
Signed copies are easy to find.
Each one is filed in the customer's folder with its signing record, and the job shows it as signed where your job software allows it.
How we build yours.
- Explain.
Tell us which documents you send today and when each one goes out, by voice or text.
- Map.
We map where each detail comes from, who signs and where signed copies should go.
- Design.
We design the document rules, the checks before sending, the reminders and the filing.
- Build.
Approve the design, and we build it on your own templates, connected to your job software, CRM, books and folders where they allow it.
Questions.
Doesn't my quote or job software already handle signatures?
Often, yes. Many quoting and job apps let customers sign a quote or estimate, and some office suites can send a template for signing. If one of those covers what you send, your solution design says to turn it on. We build when documents get retyped from several tools, when the right one depends on the job, when you fill government PDF forms, or when signed copies need filing with the job.
Will you write or change my contracts?
No. We fill the templates you use today, and your terms stay as you or your lawyer wrote them. We don't write legal terms or give legal advice.
Which e-signature tool does it use?
Our own signing step, built into your solution. Your customer agrees to sign electronically, signs from one link and downloads a signed PDF, with a record of who signed and when. They can ask for a paper copy instead. If you already pay for DocuSign or Dropbox Sign, we can send through it when your plan includes API access, and your solution design says whether yours does.
Can every document be signed this way?
No, wills and a few other documents are left out of e-signature law. In Texas, a contract to repair or renovate a homestead that puts a lien on it has to be signed by the owner and spouse at a title company, an attorney's office or the office of the lender financing the work. We fill it and hand it to you. Documents that need a notary go to your notary, a title company or an online notary.
Can it fill government and permit forms?
Yes, where the form is a fillable PDF we've tested with our fill tools. Government forms aren't signed this way, so we fill them for you to print or upload. For a permit portal that outside software can't submit to, we get the filled forms ready for you to upload.
What do I need to have?
The documents you send today as Word files, Google Docs or PDFs, with a filled example of each, and when each one goes out and who signs it. Access to where the details live, such as your job software, CRM or books, and to the Google Drive or SharePoint folder for signed copies. Your logo, and your lawyer's sign-off if your terms are new or changed. If you already use DocuSign or Dropbox Sign, admin access to the account so we can check your plan and connect it.
Where is my data kept?
Your information is kept in a database set up only for your business, never shared with another client's.
What does document automation cost?
The price depends on what we build. Your solution design includes a fixed price for the build, and nothing starts until you decide to go ahead. Running costs such as hosting and email are covered by a monthly plan sized to your business and expected usage, and optional support is separate. The process analysis and the solution design are free.
