Proposal generator

We build software that drafts each proposal in your own template and prices it from your price list. You approve it, then your customer picks a package, signs and pays a deposit from one link.

Free process analysis, with your solution design within 2 business days.

From job notes to a signed proposal.

  1. 1

A draft starts from the job's notes.

When a job is ready for a proposal, AI fills the job sections of your own template from its notes, worded like your past proposals. It's told to mark anything the notes don't say rather than guess, and you check every draft. Your terms stay exactly as you wrote them.

  2. 2

Priced from your list, sent when you say so.

Every price comes from your price list and rules, such as a minimum charge or a rush fee. A line that isn't on your list waits for your price. You check the draft, change what you like, then approve it.

  3. 3

Your customer chooses, signs and pays from one link.

They pick a package, tick any add-ons and see the total and deposit change as they choose. They agree to sign electronically, sign, then pay the deposit through your own payment processor. You see when it was opened and what they picked.

  4. 4

The signed copy is filed and your books can update.

You both get a signed PDF that looks like your template. Where your apps let outside software add them, the deal moves in your CRM and the accepted proposal lands in your accounting software with its deposit invoice linked.

What changes for you.

  • Every proposal starts as a draft.

It's written in your template from the job's notes, ready for you to check.

  • Prices match your list.

Each price comes from your price list or rules, and anything unlisted waits for you to price it.

  • Customers pick what they want.

Packages and add-ons sit on one page, with the total and deposit updating as they choose.

  • Accepted work reaches your books.

The deal moves in your CRM, and the accepted proposal lands in your accounting software with its deposit invoice linked, where those apps let outside software add them.

Questions.

Doesn't proposal software or my job software already do this?

Often, yes. Many proposal apps let customers pick optional items, sign and pay online, and some job and accounting software can add optional items, a deposit or an e-signature to a quote. If a tool you already pay for fits how you sell, your solution design says to turn it on, and if you send a handful of similar proposals, it says when a proposal app on its own is enough. We build when the slow part is drafting from each job's notes, pricing by your own rules, keeping your own document format or getting the result into your CRM, job software and books.

How is a proposal different from a quote?

A quote is a short list of priced lines, sent fast. A proposal is the longer document for a bigger job or an ongoing service. It covers the customer's situation, the scope, your approach, a timeline and your terms, with packages to choose from. For quick priced quotes, see our quote builder.

Does the AI set prices or write my terms?

No. Prices come only from your price list and pricing rules, such as a minimum charge or a rush fee, and your terms, warranties and cancellation wording stay exactly as your template has them. The AI writes only the sections you choose, using this job's notes and your past proposals, and it's told to mark a gap rather than guess. AI can still get a detail wrong, so every proposal waits for your approval before it's sent.

How do signing and the deposit work?

Your customer agrees to sign electronically, types their name and signs from the link sent to their email. We record the time, IP address, browser and the exact version they signed, and you both get a signed PDF. The deposit goes through your own payment processor, such as Stripe, Square or QuickBooks Payments, so card details go to your processor and never reach us. If you already use DocuSign or Dropbox Sign, we can connect signing to your account where it allows it.

What do I need to have?

Your proposal template in Word, Google Docs or PDF with your logo, colors and fonts, plus a few past proposals you're happy with and the job notes behind them. Your price list, pricing rules, packages and add-ons, and your own terms and cancellation wording, since we don't write those. Access to your CRM or job software, your accounting software, your payment processor and your domain settings, so proposals come from your own email address. If you don't have a processor, you open a Stripe account and we connect it.

Where is my data kept?

Your information is kept in a database set up only for your business, never shared with another client's.

What does a proposal generator cost?

The price depends on what we build. Your solution design includes a fixed price for the build, and the process analysis and solution design are free. Running costs such as AI drafting, hosting and email sending are covered by a monthly plan sized to your business and expected usage. Optional support is separate, and your solution design lays out both before you decide.
