Customer portal
We build a portal where customers sign in with a code to see their jobs, quotes, invoices and documents, then pay, approve or message you.
Free process analysis, with your solution design within 2 business days.
From sign-in to paid, and back into your tools.
- 1
Customers sign in with a code.
You invite each customer, and they sign in with a six-digit code we email them. There's no password to remember, and only people you invited can get in.
- 2
They see their own jobs, quotes and invoices.
Each customer sees only their own records, copied from the tools you already use where they let outside apps read them. Jobs and quotes come from your job software, invoices from your accounting software and documents from your file storage.
- 3
They approve, pay and message from the job.
On the job page they approve the quote, upload a photo or send you a message. Pay opens your own payment processor's page, such as Stripe, Square or QuickBooks Payments. Card details go to your processor and never reach us.
- 4
It all lands back in your tools.
The approval and the payment are recorded in your job software and your books where they allow it, and the invoice shows paid once your books say so. Files and messages are saved with the job, and you get an email when one needs you.
What changes for you.
Customers can check on their job themselves.
Status, dates and the photos you choose to share are there whenever they look.
Open invoices sit next to the job.
Customers see what's paid and what's due, and Pay opens your own payment processor.
Documents stay with the job, not in email.
Contracts, permits, warranties and photos you share sit on the job page, and files your customers upload are saved there too.
You choose what each customer sees.
You preview exactly what each person will see before you invite them. Internal notes and costs stay hidden from customers.
How we build yours.
- Explain.
Tell us what customers ask you about and where their records live today, by voice or text.
- Map.
We map where each job, quote, invoice and document is kept, and what each customer should see.
- Design.
We design the portal screens, the sign-in, your words for each status and the emails customers get.
- Build.
Approve the design, and we build it on your own web address, connected to your job software, books and file storage where they allow it.
Questions.
Doesn't my job software already have a customer login?
Often, yes. Many job and billing apps include a customer login with quotes, invoices and online payment. If yours shows what your customers ask about, your solution design says to turn it on. We build when a customer's records sit in more than one tool, such as jobs in your job software, invoices in your books and documents in your file storage, when files or messages need to sit with the job, or when the portal has to run on your own web address.
Can one customer see another customer's records?
It's built so they can't. Each person is linked only to the customer accounts you approve, such as several properties for one property manager, and the database checks that link on every record and file. Before an invite goes out you see exactly what that person will see, so you can catch a shared or old email address first. Before launch we sign in as test customers and check that none of them can reach another's records or files.
Can it hold tax returns or ID documents?
Not for now. The portals we build hold job documents such as quotes, invoices, contracts, permits and photos. If you prepare taxes and your practice software has a client portal, your solution design points you to it.
Do customers get texts?
Only if you want sign-in codes or notices by text. A code goes by text only when a customer asks for one, and notices go by text only to customers who agreed to texts, with email for everyone else. Every text includes a way to opt out, and replies of STOP are honored. US carriers require businesses that text through software from ordinary 10-digit numbers to register, which is called A2P 10DLC, and we handle the registration as part of the setup.
What do I need to have?
You need admin access to your job software, accounting software and file storage, your own payment processor account, and access to your domain's settings so sign-in emails come from your business. We also need your words for each job status, what customers shouldn't see and your privacy notice and portal terms, which you write or approve. Some job software only lets outside apps connect on certain plans, and we check yours first. If you don't have a processor, you open a Stripe account and we connect it.
Where is my data kept?
Your information is kept in a database set up only for your business, never shared with another client's.
What does a customer portal cost?
The price depends on what we build, and your solution design includes a fixed price for the build. The process analysis and the solution design are free, and nothing starts until you decide to go ahead. Running costs such as hosting, file storage, sign-in emails and any texts are covered by a monthly plan sized to your business and expected usage. Optional support is separate, and your solution design lays out both before you decide.
