Invoicing and payment links

From a finished job to a paid invoice.
- 1
A finished job starts its invoice.
When a job is marked done in the tool you track work in, such as a spreadsheet, a calendar or job software that lets outside apps connect, its invoice is drafted from the job and your price list. A deposit already paid on the quote comes off the total.
- 2
It goes out with a pay link.
It waits for your OK. After the first month, you can let invoices you name go out on their own. Customers get it by email, and by text if they agreed to texts, with a way to opt out by replying STOP. We handle the A2P 10DLC carrier registration for those texts.
- 3
Customers pay from their phone.
They pay by card or bank on your own processor's page, such as Stripe, Square or QuickBooks Payments. Larger jobs can be split into a deposit plus up to four payments, with no interest or fees.
- 4
Payments land in your books.
Each payment made through the link is recorded against its invoice in QuickBooks Online or Xero. One list shows who has paid, who is due soon and who is overdue.
What changes for you.
Finished jobs get their invoice.
When a job is marked done in a tool we connect to, its invoice is drafted from the job and your price list.
Customers pay from a link.
They pay by card or bank on their phone, and the money goes to your own processor account, not through us.
Deposits come off the final invoice.
A deposit paid on a quote we built, or one from a tool we connect to, is already taken off when the invoice goes out.
Payments through the link reach your books.
Each one is recorded against its invoice in QuickBooks Online or Xero.

Questions.
Doesn't my accounting or job software already do this?
Often, yes. Many accounting, payment and job apps send invoices with a pay link, and some take deposits, so if one tool covers what you need, your solution design says which setting to turn on. We build where those stop. That's when a job is marked done in a spreadsheet, a calendar or another app, when payments taken through your processor have to be recorded against the invoice in your accounting software, or when you want pay links sent by text and your invoicing tool only emails them.
How do deposits work?
When a customer accepts a quote we built for you, or one in a tool that lets outside apps connect, a deposit request goes out with a pay link. The amount follows your rule, a set amount or a percent by service or job size. The deposit comes off the final invoice. Deposits taken when customers book online are part of online booking.
Can customers pay a larger job in parts?
Yes. You can offer a deposit plus up to four scheduled payments, with no interest and no fees. Each payment goes out as a pay link on its date. We don't build longer plans or plans with interest or fees.
Do card details pass through you?
No. Customers type card or bank details only on your processor's own page, so card details go to your processor and never reach us. The money goes to your own processor account.
Who gets pay links by text?
Only customers who agreed to get texts from you. Each text names your business and includes a way to opt out by replying STOP, and replies of STOP are honored. US carriers require businesses that text through software from ordinary 10-digit numbers to register, which is called A2P 10DLC. We handle the registration as part of the setup.
What do I need to have?
A payment processor account in your business's name, such as Stripe, Square or QuickBooks Payments, or a Stripe account you open and we connect. For Stripe you create a key that allows only what we list, and for Square, QuickBooks or Xero an admin approves our connection. We also need your books in QuickBooks Online or Xero, access to the tool where you track jobs, your price list, deposit rules, payment terms and refund policy. For pay links by text, your business details for the carrier registration.
Where is my data kept?
Your information is kept in a database set up only for your business, never shared with another client's.
What do invoicing and payment links cost?
The price depends on what we build, and your solution design includes a fixed price for the build. The process analysis and the solution design are free, and nothing starts until you decide to go ahead. Your solution design also lays out a monthly plan for running costs such as hosting, email and texting, plus optional support, which is separate. Card and bank fees are your processor's, charged to your own account.
