Time tracking and shift scheduling
We build a phone clock-in where your team picks the job they're on. You approve the week, the hours export to your payroll, and next week's shifts are drafted from availability.

From next week's schedule to approved hours.
- 1
Next week's shifts are drafted for you.
Each person sets when they can work and their time off. Shifts are drafted from that and your rules, such as who can do which work and how many people each job needs. You edit and publish, and a swap between teammates waits for your OK.
- 2
Your team clocks in on the job.
Each person picks the job they're on and taps Clock in, then switches jobs as the day goes. If you turn it on, their location is read once at clock-in and once at clock-out, with their permission. You see who's on the clock and on which job.
- 3
You review the week by person and job.
Hours over 40 in the workweek and missed clock-outs are flagged before payroll. When you fix a punch, the original stays on record with who changed it and when.
- 4
Approved hours export to your payroll.
Approve the week, and the hours go into a file for your payroll with regular and overtime hours split. Your payroll calculates pay. The same hours land on each job, in Job costing or in your job software where it lets outside apps add them.
What changes for you.
Hours land on the job they were worked on.
Your team picks the job when they clock in, so a day on two jobs splits between them.
Problems show up before payday.
Missed clock-outs and edits are flagged while you can still fix them, and hours over 40 are flagged before payroll.
Payroll gets the hours you approved.
You approve the week once, and the file for your payroll is ready to upload.
Schedules start from availability.
Next week is drafted from when your team can work, and swaps need your OK.
How we build yours.
- Explain.
Tell us how your team clocks in, gets scheduled and gets paid today, by voice or text.
- Map.
We map where your job list lives, who approves hours, when your workweek starts and the file your payroll takes.
- Design.
We design the clock-in, the weekly timesheet, the flags and the schedule around your rules.
- Build.
Approve the design, and we build it, connected to your job software or QuickBooks Online where it lets outside apps connect, with a file of approved hours for your payroll.
Questions.
Doesn't my time clock app or job software already do this?
Often, yes. Many time clock apps handle clock-in, schedules and a payroll export, and some job software tracks time on each visit. If yours fits how your team works, your solution design says to turn it on, and we build nothing or only bring its hours into Job costing. We build when hours have to land on jobs in the software you already run, when your rules go past an app's settings, such as a pay rate per job type or a crew lead approving first, or when one clock-in has to feed payroll and job costs without anyone typing hours twice.
Which payroll does it work with?
Payroll that can import hours from a file, which we check for yours before we quote. We export the approved hours for each person and workweek, with regular and overtime hours split, in the layout your payroll takes, and you upload the file when you run payroll. Texas has no overtime law of its own, so the federal rule applies to non-exempt staff, with overtime after 40 hours in a workweek, and we flag those hours. We never run payroll or calculate pay, taxes or deductions, which stay with your payroll provider.
Do you track where my team is?
Only if you turn it on, and only at clock-in and clock-out, with each person's permission on their phone. Nothing is tracked through the day, and clocking in away from the job site shows a warning, so you see who clocked in at the site. Before it starts, we ask you to tell your team in writing, and we give you plain wording to adapt. We don't offer face, fingerprint or photo clock-in.
Can a punch be changed after the fact?
A fix never overwrites the punch. Every punch is kept exactly as it was made, and edits and approvals are stored on top of it with who made them and when. You can export your records any time. Federal payroll records must be kept at least 3 years and Texas unemployment-tax records 4, so ask your accountant how long to keep yours.
What do I need to have?
Your job list, either from your job software or QuickBooks Online with an admin connecting it, or as a list of jobs and sites. Your team list with roles, who approves hours, when your workweek starts and your staffing rules. A sample import file or a past payroll file, and your decision on location at clock-in. Your payroll provider or accountant confirms your pay rules, overtime and any rounding.
Where is my data kept?
Your information is kept in a database set up only for your business, never shared with another client's.
What does time tracking cost?
The price depends on what we build. Your solution design includes a fixed price for the build, and nothing starts until you decide to go ahead. The process analysis and the solution design are free. Running costs such as hosting, your database and email notices are covered by a monthly plan sized to your business and expected usage, optional support is separate, and your solution design lays out both before you decide.
