Inspection reports

We build a phone page where your crew adds photos and notes at the job. AI drafts the report in your template from those notes, you approve it, and your customer gets the PDF. It fits condition reports before a quote, service records and move-in or move-out reports.

From photos at the job to an approved report.

  1. 1

Your crew adds photos and notes at the job.

They open the job on a phone and work down your checklist, adding photos and a short note under each section. Notes are typed or spoken into the phone's keyboard. With no signal, photos wait on the phone and upload when there's signal and the page is open.

  2. 2

AI drafts the report in your format.

It's told to write only from what the crew recorded, in your template and your standard wording. Every line names the photos and notes behind it, and a section with no note shows as a gap instead of a guess.

  3. 3

You check each line and approve it.

Each line sits beside its photos and the crew's note, so you can change it or fill a gap. Nothing goes to your customer until you approve it.

  4. 4

Your customer gets the report, and a copy is filed.

They get an email from your business with the PDF and a link to the report online. The report says it was drafted with AI and names the person who reviewed it. A copy is saved to the job's folder in Google Drive or SharePoint, or on the job in your job software where it lets outside apps add files.

What changes for you.

  • Reports start at the job.

Your crew records what they found while they're there, so the draft begins from what they saw that day.

  • Every line can be traced.

Each line names the photos and notes behind it, so you can see where it came from before you sign off.

  • Reports look and read like yours.

They use your template, your sections and the wording you already reuse.

  • Gaps show up before your customer sees them.

A section with no note is marked for you to fill, and nothing is sent until you approve it.

How we build yours.

  1. Explain.

Tell us which reports you send today and how your crew records a job, by voice or text.

  2. Map.

We map each kind of report you send, its sections and checklist, who reviews it and where finished reports go.

  3. Design.

We design the phone checklist, the report in your template, the review screen and the email your customer gets.

  4. Build.

Approve the design, and we build it, filing reports to your folders or job software where they let outside apps add files.

Questions.

Doesn't my photo or checklist app already do this?

Often, yes. Many photo and checklist apps turn job photos into a report, and some draft it with AI. If yours makes the report you need, your solution design says to turn it on, and we build nothing. We build when the report has to look and read like yours, photos come from more than one place, you want the photos and notes behind every line, or the report has to land in several places.

Does the AI decide what's wrong?

No. It writes up what your crew recorded, and it's told not to add a cause, how serious something is or what it costs unless a note says so. AI can still get a detail wrong, so you see each line beside its photos and note before you approve it. Every report says it was drafted with AI and names the person who reviewed it.

Do you build reports for home sales?

No. In Texas, inspecting a home for a buyer or seller is generally licensed work, reported on a form the state sets, and licensed inspectors have software made for that. We also don't build pest reports or any form a state or insurer prescribes. We build a business's record of its own work, such as the condition found before a quote, the work done and the state it was left in.

What if there's no signal at the job?

Photos and notes are saved on the phone first and upload when there's signal and the page is open. iPhones can't upload in the background, so the page shows how many photos are still waiting. We don't delete a photo from the phone until our server confirms it arrived. Before launch we test it in airplane mode on an iPhone and an Android phone.

What do I need to have?

Send us three to five recent reports with the photos and notes behind them, and your template in Word, Google Docs or PDF. Add your standard wording if you have it, what each kind of report must cover, who records and who approves, and the languages your crew speaks. Tell us where finished reports go and give us access to that Google Drive or SharePoint folder or your job software, plus your logo and the name customers should see on emails.

Where is my data kept?

Your information is kept in a database set up only for your business, never shared with another client's.

What do inspection reports cost?

The price depends on what we build, and your solution design includes a fixed price for the build. Nothing starts until you decide to go ahead, and the process analysis and solution design are free. Running costs such as hosting, photo storage, AI drafting and email sending are covered by a monthly plan sized to your business and expected usage. Optional support is separate, and your solution design lays out both before you decide.
