Quote follow-ups

We build follow-ups for your open quotes, by email and by text to customers who agreed in writing. They stop when a customer replies to one, or when the quote is accepted or declined.

From a sent quote to the customer's answer.

  1. 1

Each quote gets its own schedule.

Quotes join your list when they're emailed from QuickBooks, sent from job software that lets outside apps read quotes, or sent as a PDF you copy us on. Each one gets follow-ups on the timing you chose.

  2. 2

Each follow-up names the job and the amount.

Each one names the job, the amount and when the quote expires, in wording you approved, and goes by email. Texts go only to customers who agreed in writing and include a way to opt out by replying STOP. We register your texting number for A2P 10DLC, as US carriers require.

  3. 3

    A reply stops the rest.

When the customer replies to a follow-up, the sends still to come are canceled. A quote accepted, declined or expired in your software stops too, because its status is checked before every send.

  4. 4

Replies and quotes worth a call come to you.

The customer's reply is forwarded to your inbox. A short list shows the next step for each quote that got a reply, got its last follow-up without an answer or is large enough to call about.

What changes for you.

  • Quotes get followed up in your busiest weeks.

Each quote sent from a connected tool, or copied to us, gets its follow-ups on your timing, whether or not you remember.

  • Follow-ups stay about the customer's own quote.

Each one uses wording you approved, with no discounts or made-up deadlines.

  • Customers who reply stop getting follow-ups.

A reply to a follow-up, or a quote marked accepted or declined, ends the follow-ups for that quote. If they call you instead, one tap on your list stops them.

  • Your calls go to the quotes that need one.

A short list shows who replied, who went quiet after the last follow-up and which quotes are large enough to call about.

How we build yours.

  1. Explain.

Tell us how quotes go out today and how you follow up on them, by voice or text.

  2. Map.

We map where your quotes are sent from, what marks one accepted or declined there and which customers agreed to texts.

  3. Design.

We design the timing for each kind of job, the wording you approve and what puts a quote on your call list.

  4. Build.

Approve the design, and we build it, connected to the tool your quotes go out from where that tool allows it.

Questions.

Doesn't my job software already follow up on quotes?

Often, yes, and some job and sales apps only do it on higher plans. If yours fits how you work, your solution design says to turn it on. We build when your quotes go out from a tool without follow-ups or from several tools, or when the timing should change with the job. We also build it when you want texts and email together, with a text reply stopping them, or a list of quotes to call about.

Which customers get texts?

Only customers who agreed in writing to get texts from you, such as by ticking a box on your quote request form, and everyone else gets email only. We ask for written agreement because a follow-up asks the customer to go ahead with a purchase. Every text includes a way to opt out, and replies of STOP are honored. US carriers require businesses that text through software from ordinary 10-digit numbers to register for A2P 10DLC, and we handle the registration as part of the setup.

What if a customer calls instead of replying?

We see replies to the follow-ups themselves, by email or text. A phone call or a reply to your original quote email doesn't reach us, so your call list carries a one-tap stop for each quote. A quote marked accepted or declined in your software stops on its own when we're connected to it.

Who writes the follow-ups?

You approve the wording once, and each follow-up fills in the job, the amount, the expiry and the quote's link when it has one, from the quote. Follow-ups never add discounts or offers. If you want one written with AI for a particular quote, it waits for your approval before it goes out. Every email carries your business's postal address and a link to stop further follow-ups.

What do I need to have?

Admin access to where your quotes go out, such as QuickBooks Online or your job software. Some apps only allow outside connections on higher plans, and we check yours first. We also need your follow-up timing, a few follow-ups as you word them today, your business's postal address and access to your domain settings so emails come from your own address. For texts, we need your business details for the carrier registration and a consent checkbox on your quote request form, which we can add where your website allows it.

Where is my data kept?

Your information is kept in a database set up only for your business, never shared with another client's.

What do quote follow-ups cost?

The price depends on what we build, and your solution design includes a fixed price for the build. Nothing starts until you decide to go ahead, and the process analysis and the solution design are free. Running costs such as email, texting and hosting are covered by a monthly plan sized to your business and expected usage. Optional support is separate, and your solution design lays out both before you decide.
